In today’s corporate environment, a sign-in book is no longer sufficient. Organizations require stringent data protection, real-time analytics, instant notifications, and multi-site scalability. VMS was architected from the ground up to meet these demands. 2. Core Features & Capabilities 2.1. Visitor Check-In and Check-Out Lifecycle The visitor lifecycle is the core of the application, designed to be intuitive for the end-user while capturing all necessary compliance and security data for the organization. Walk-In Check-In Workflow: When a visitor arrives without prior registration, they interact with the touch-friendly kiosk (either web or iOS). The workflow is a dynamic, multi-step wizard: 1. Dynamic Fields: The visitor is prompted to enter their basic information (e.g., Name, Email, Phone Number, Company). These fields are dynamically configured per location by the administration team. 2. Host Selection: A debounced, real-time search interface allows the visitor to type the name of the employee (host) they are visiting. 3. Purpose of Visit: The visitor selects their purpose, which helps in categorising visitor types (Visitor, Delivery, Contractor). 4. Photo Capture: Depending on the location's configuration, the kiosk interfaces with the device’s front-facing camera to capture a profile picture of the guest. The photo is cropped to a square and mirrored automatically. 5. Health Declaration: Custom health and safety questions configured for the specific building are presented. 6. Consent & GDPR: The final step involves agreeing to the company's privacy policy and terms of entry, tracked with a timestamp. QR Code Check-In: For pre-registered visitors, the process is streamlined to mere seconds. The visitor approaches the kiosk, selects "QR Check-In," and holds up their phone displaying a unique QR code. Check-Out Automation: Visitors can check themselves out by searching for their name or email on the kiosk, or an administrator can manually check them out from the dashboard. Furthermore, the system includes a "stale record" auto-checkout feature. If a visitor forgets to sign out, the system automatically marks their status as checked out at the end of the day. 2.2. Pre-Registration and Invitations To facilitate high-volume events or VIP guests, administrators can invite visitors ahead of time. - Admin Invitations: From the dashboard, an admin or host inputs the visitor's email, name, and expected arrival time. The system dispatches an automated, customisable email containing a unique QR code and a calendar invite. 2.3. Host and Employee Management The system acts as an internal directory of hosts. Employees can be categorised by department and assigned to specific physical locations. To maintain strict data privacy, employee contact details (phone numbers and emails) are encrypted at rest. When a visitor checks in and selects a host, the system seamlessly decrypts the host's details in memory to dispatch SMS and email notifications without exposing the raw contact data in the database. 2.4. Multi-Location Architecture For enterprise organizations with multiple offices, the VMS offers robust multi-location support. -Isolated Configurations: Each physical office can have its own distinct branding (logos, names), its own set of custom form fields, and its own specific health declaration questions. 2.5 Instant Host Notifications The moment a visitor completes their check-in, the system processes a background notification trigger. It retrieves the selected host's encrypted contact details, decrypts them, and immediately dispatches an email and/or SMS message. The message informs the host of the visitor's name, company, and location.
